The ZytaFlow Philosophy
Before diving into button clicks and configuration fields, it helps to understand why ZytaFlow was engineered differently from any other restaurant ordering platform.
Deterministic Accuracy vs. AI Chatbots
A common question is: “Is ZytaFlow an AI chatbot that talks to customers?” The answer is strictly no. Generative AI chatbots hallucinate: they make up unavailable dishes, miscalculate delivery fees, invent promotional discounts, and give ambiguous pickup times. In restaurant operations, ambiguity leads to food waste, driver disputes, and angry customers.
ZytaFlow uses a deterministic state enginepaired with Meta's official interactive WhatsApp catalogs. Customers tap structured buttons, browse native catalog cards with clear pricing and high-resolution images, and select verified modifiers. Every calculation is mathematical, instant, and verified against your kitchen stock.
Dual Layer Architecture: Organization vs. Branch Workspaces
ZytaFlow separates your business into two distinct operational layers:
Holds your legal business identity, single master timezone, master WhatsApp connection, team member user directory, and consolidated billing. Executives view total chain performance across all branches here.
Each physical kitchen or outlet operates as its own workspace with independent live orders, thermal kitchen printing, localized stock availability (86ing items), and specific delivery radius geofences.
The 8-Step Complete Onboarding Runbook
Step-by-step instructions for completing the ZytaFlow Onboarding Wizard. Each step explains what to configure and why it matters to your operations.
Organization Details & The Single Timezone Setting
What you configure: Legal Business Name, Operating Country, Master Currency, and Master Timezone.
Why this matters: Every order timestamp, shift cutoff report, kitchen delivery estimate, and automated opening/closing schedule relies on this timezone. To eliminate synchronization bugs, an organization operates on a single master timezone.
First Branch Setup, Geocoding & Radius Polygons
What you configure:Branch Name (e.g. “Downtown Flagship”), physical street address, latitude/longitude pin, delivery radius in kilometers (e.g. 7 km), delivery fee, sales tax percentage, and opening/closing hours.
Why this matters: ZytaFlow uses latitude and longitude to execute radius dispatching. When a customer sends their location pin on WhatsApp, the engine calculates whether they fall within this radius. If they are outside, the system politely notifies them rather than dispatching a delivery that cannot be fulfilled.
Multi-Branch & 1-Click Synchronization Engine
What you configure: If you have 2 or more locations, register their names and addresses. Then use the Branch Sync Engineto replicate your flagship branch's menu, operating hours, or business rules to all new branches in 1 click.
Why this matters: Chains with 5, 20, or 100 branches should never have to manually input 80 menu items repeatedly. Synchronization handles catalog replication safely in an ACID database transaction while leaving physical addresses and delivery radiuses isolated per location.
Team Members & 4-Tier Access Control
What you configure: Send email invitations to managers, cooks, and support agents with strictly defined roles:
Official Meta Cloud WhatsApp Setup & Facebook Login
What you do:Click “Connect with Facebook” to launch Meta's official Embedded Signup modal. Log in with your Facebook account, select or create your Meta Business Manager, select your WhatsApp Business Account (WABA), enter your dedicated phone number, and verify it via SMS or Phone Call OTP.
Why Facebook Login is required: This is the official cryptographic authentication protocol required by Meta to establish ownership of the phone number and link it to your verified business identity. It ensures that only the legitimate business owner can activate ordering for their brand, preventing copycats or imposters from hijacking your brand name.
In-App WhatsApp Profile Customization
What you configure: Business Profile Picture / Logo, Business Description / Bio, Operating Category (e.g. Restaurant & Food Service), physical address, contact email, and website links.
Why this matters: Customers inspect your WhatsApp Business profile before placing their first order. Professional branding and verified business metadata establish immediate credibility and trust.
Readiness Audit & Going Live
What happens: ZytaFlow runs an automated validation checklist across your organization:
Once verified, clicking “Activate & Go Live” enables live ordering webhooks. Important: Your billing subscription begins only after this step is confirmed. You are never billed during setup or sandbox testing.
Branch Operations & Multi-Branch Scaling
How ZytaFlow manages delivery radiuses, shift hours, rush hour pausing, and 100+ location networks.
GPS Delivery Polygons & Pickup Rules
In your branch settings (found in Branch Workspace → Settings), you can toggle Delivery and Pickup independently:
- Delivery Radius (km): Calibrate the maximum distance your delivery drivers or bike riders can service. Distance is calculated using the Haversine formula against the customer's WhatsApp location pin.
- Delivery Fee & Minimum Order: Set a flat delivery fee or calculate dynamic delivery fees.
- Estimated Prep & Delivery Time: Customers receive an instant estimate (e.g. “35ΓÇô45 mins”) in their order confirmation message.
- Pickup Orders: Customers who select takeaway receive an address card with a Google Maps pin directly in WhatsApp for navigation.
Operating Hours & 1-Click Rush Hour Pausing
Kitchens face sudden volume spikes on Friday and Saturday nights. ZytaFlow includes two fail-safe mechanisms:
Branches automatically stop taking delivery tickets when closing time arrives. Customers who message after hours receive an automated greeting showing when the kitchen reopens.
If ticket queues back up, staff click “Pause Orders” on the live dashboard. The system stops accepting new delivery orders immediately, protecting your kitchen from ticket pileups.
The 1-Click Branch Synchronization Engine
Located under Organization Command Center → Branch Sync, this tool lets Org Admins propagate changes across the chain in three simple steps:
- Select Source Branch: Choose the master branch containing your updated menu or operational settings.
- Select Sync Categories: Choose whether to sync (1) Menu & Inventory, (2) Operating Hours, and/or (3) Business Rules (delivery fees, tax rates, auto-accept).
- Select Target Branches & Confirm: Select one, several, or all destination branches. Review the preview summary and click Confirm.
Driving High-Volume Customer Traffic to WhatsApp
Having a world-class WhatsApp ordering bot is only half the battle. Here is how leading restaurants redirect thousands of hungry customers away from 30% aggregator marketplaces into their direct WhatsApp channel.
Packaging, Tabletop & Flyer QR Codes
Convert every physical customer encounter into a direct, recurring digital relationship:
Google Business Profile & Website Buttons
Set your Google Maps “Order Online” link directly to your WhatsApp Click-to-Chat URL. On your brand's website, replace slow, complex checkout carts with a floating “Order via WhatsApp” pill. Customers complete orders without typing passwords or downloading another app.
Direct Customer Data Ownership (Zero Aggregator Intermediaries)
When customers order through delivery aggregators, you never receive their phone number or real identity. With ZytaFlow, every order captures the customer's verified WhatsApp phone number, full name, delivery address, and order history in your dashboard. You own 100% of your customer relationship forever.
Official Meta Cloud API, Security & Edge Cases
Everything you need to know about Meta compliance, fraud prevention, and real-world edge cases.
Why Facebook Login is Mandatory (Identity Security & Anti-Fraud)
Many users ask: “Why do I need to log into Facebook to connect my restaurant's WhatsApp?”
1. Enterprise Business Verification: Meta requires Facebook OAuth to cryptographically bind your WhatsApp Business Account (WABA) to your legal Meta Business Manager entity.
2. Imposter Protection:Without official Facebook authentication, anyone could type in a phone number claiming to represent your brand. Meta's protocol guarantees that only authorized managers of the business can register the phone number.
3. Zero Phone Ban Risk:Unofficial bots (like Baileys or browser session scrapers) get numbers banned because they emulate web clients. ZytaFlow connects via Meta's official enterprise Cloud API, making your phone number 100% immune to account suspensions.
Phone Number Requirements for Meta Cloud API
- Cannot be active on personal or business mobile apps: A phone number registered on the Meta Cloud API cannot simultaneously be logged into the standard WhatsApp consumer app on a smartphone. If your number is currently on an iPhone or Android phone, you must delete the WhatsApp account from the mobile app settings before registering it on the Cloud API.
- Must receive SMS or Phone Calls: During registration, Meta sends a 6-digit verification code. Your phone must be able to receive incoming SMS or phone calls to complete this step.
- Landline Support: Meta supports landline phone numbers! If using a landline, choose the “Phone Call” option to receive the OTP code via automated voice.
Handling Real-World Edge Cases
ZytaFlow detects that the customer's GPS coordinates exceed all active branch delivery radiuses. The bot politely replies: “Sorry, you are currently outside our delivery zone. We would love to prepare your order for pickup if you prefer!” and offers Pickup options.
The bot checks the organization's master timezone and responds: “We are currently closed. Our kitchen opens tomorrow at 11:00 AM.”
When staff click “Pause Orders” on the KDS screen, the bot tells new customers: “Our kitchen is currently experiencing peak volume. Ordering will resume in 20 minutes!”
ZytaFlow pauses the automated bot for that customer and triggers a priority notification in the Team Inbox (/inbox). A CSR can chat directly with the customer.
The Meta 24-Hour Customer Service Window
Under Meta's official policy, whenever a customer sends an inbound message to your WhatsApp number, a 24-hour service window opens. Inside this window, all menu navigation, status updates (Order Confirmed, Preparing, Out for Delivery), and CSR human messages are 100% free of per-message Meta template fees. ZytaFlow is designed to keep all operational commerce strictly inside this compliant window.
Operations & Kitchen Best Practices
Proven operational strategies used by high-performing restaurants running on ZytaFlow.
Peak Friday Rush Hour Playbook
- Keep Sound Alarms Unmuted: ZytaFlow's kitchen screen produces continuous audio sound chimes until an incoming order is acknowledged. Ensure the kitchen tablet or monitor volume is turned up high.
- Use Auto-Accept Wisely: For quick-prep items during moderate volume, turn on Auto-Accept. During peak rushes, switch to manual acceptance to pace kitchen ticket flow.
- Instant 86ing: If an ingredient runs out (e.g. burger buns), tap the item in
/inventoryto set it “Out of Stock”. ZytaFlow removes it from the WhatsApp catalog instantly, preventing unfulfillable orders.
Expanding to New Cities & Franchises Checklist
When opening branch #2, #10, or #50:
- Register the Branch: Go to Organization → Workspace Directory → Register Branch and enter the address and delivery radius.
- Sync from Master: Open Branch Sync and copy your master menu and operational rules in 1 click.
- Invite Local Staff: Send Branch Admin and Kitchen Staff invitations restricted to that new location.
- Advertise Local Delivery: Generate custom Click-to-Chat links and print QR codes for the new neighborhood.

Social Media Click-to-Chat Links (Instagram, TikTok, Facebook)
Place a direct WhatsApp Click-to-Chat link in your Instagram Bio, TikTok profile, and Facebook “Order Food” action button using this standard link format:
When a customer taps this link on mobile, it immediately opens WhatsApp with the prefilled greeting ready to send. As soon as they hit send, ZytaFlow replies with your interactive menu in under 1 second.
